Before You Switch
Thinking about changing billing companies? Here is exactly what the transition looks like - no surprises.
Transition & Onboarding
How long does switching to Zaxis Health take?
Most practices are fully live within 1–2 weeks. We map your workflows, import your AR, and run parallel to your current setup - in-house team or another biller - so claim flow never stalls during the handoff.
What happens to our open AR when we switch?
Nothing gets dropped. We pull your full aging, flag claims nearing timely-filing deadlines, and work every bucket by recoverable dollars - current and old. You get a clean, complete AR picture in the first week.
EHR & Clearinghouse Integration
Do we have to change our EHR or clearinghouse?
No. We work inside your existing EHR, practice management system, and clearinghouse - no forced migration and no new software to buy. We are fluent in 89 billing and EHR systems, including eClinicalWorks, AdvancedMD, athenahealth, NextGen, and ModMed.
How does system access work?
Securely and on your terms: role-based logins that you create and can revoke anytime. We document our workflows inside your systems, so your data, processes, and history stay with you - even if you ever leave.
Denials & AR
How do you handle our old AR?
We segment your 90+ day buckets by recoverable dollars and timely-filing urgency, then work them systematically - corrected claims, appeals, and payer calls. Old AR recovery is 15% contingency, so you pay only on money actually recovered.
What is your approach to denial recovery?
Root cause first: we categorize denials by reason code and fix the underlying issue - coding, eligibility, or authorization - so they stop recurring. Then we appeal the recoverable ones. Our free denial code lookup tool walks through 26 common codes and how to fix each one.
Pricing & Contracts
What is included in the 5% Complete RCM fee?
The entire cycle: eligibility verification, prior authorizations, charge entry and coding, claim submission and scrubbing, payment posting, denial management and appeals, and AR follow-up. One flat 5% of net collections - no add-ons, no per-claim fees.
Are there setup fees or a long-term contract?
No setup fees, ever. After a 90-day ramp, everything is month-to-month. You can even start smaller - a free revenue-leak review or a standalone audit from $1,500 - before committing to anything ongoing.
Security & Compliance
Is Zaxis Health HIPAA compliant?
Yes - Zaxis Health is HIPAA Compliant, and we sign a BAA with every client. Patient data handling is documented and secure, with access limited to the specialists working your accounts.
Who works on our accounts, and when?
Trained RCM specialists backed by an AAPC Certified coding team, with a dedicated account manager you will know by name. We cover US business hours for payer calls, follow-ups, and client questions.
Pricing
How much do your medical billing services cost?
Complete RCM is 5% of net collections. A dedicated full-time billing specialist is $1,500/month. Old AR recovery is 15% contingency - no recovery, no fee. A standalone RCM audit starts at $1,500 and consulting is $150/hour.
Are there any setup or onboarding fees?
No. Onboarding, system familiarization and the initial revenue-leak review are all included.
How is the 5% calculated?
On net collections actually received - not billed charges. If we don't help you collect, we don't earn.
Are we locked into a long-term contract?
No. Month-to-month after an initial 90-day ramp. We keep clients with results, not contracts.
